A property management firm in Novena

Challenge
The firm was spending roughly three hours per day managing routine tenant enquiries by email — same questions, repeated responses. With two staff and fifteen properties, this was consuming a significant share of their working hours.
Solution
We configured an AI assistant to handle a defined set of enquiry types, connected it to their existing email system, and trained both staff on how to review responses and manage exceptions. The setup took two and a half weeks, including testing.
Outcome
Routine enquiry handling time reduced from around three hours to under forty minutes per day. Staff reported feeling more in control, not less — the assistant handled the repetitive work while they focused on cases that needed judgement.

Challenge
The owner had seen several vendors promoting AI tools for inventory and purchasing and was unsure whether any of them were suitable for a business of their size, or worth the cost of finding out.
Session finding
After reviewing their current systems and purchasing patterns, we concluded that three of the four ideas they were considering would not yield a meaningful return at their volume. One had potential — a simple forecasting assistant — but would require clean historical data they did not yet have.
Outcome
The owner did not proceed with any tool at that stage, which was the right decision. The written summary included a note on the data preparation that would make the forecasting tool viable in the future. They have since been in touch to say that work is underway.

Background
This agency had already set up several AI tools before coming to us and found that two had become less useful as the underlying providers had updated their offerings. They wanted someone to manage the tools steadily without needing to monitor them directly.
Retainer arrangement
We began the retainer after a brief review of their existing tools. One tool was reconfigured in the first month, one was replaced with a better-suited option, and one was removed because it had stopped earning its cost. Since then the arrangement has been mostly routine maintenance.
After 8 months
